Review-Request Message Templates That Actually Get Responses

Most happy customers never leave a review unless you ask. Here are reusable SMS, email, and in-person templates — plus the small decisions about channel, timing, and neutral wording that decide whether people actually respond.

Most of your happiest customers will never leave a review on their own. They meant to, then the day moved on. That is the quiet truth behind almost every thin review count: the service was fine, the ask never happened. The single biggest lever on how many reviews you collect is not the quality of the work — it is whether you ask, and how you ask. A clear, well-timed, neutral message turns a satisfied customer into a public one. Here are templates you can reuse, and the small decisions behind each one.

Send it where it actually gets opened

The best-written request does nothing if it sits unread. This is where channel matters more than wording. Text messages are opened at roughly a 98% rate, with response rates around 45%, compared with email response rates near 6%. Mailchimp explains the gap plainly: a text lands right in the messaging inbox with no login and no internet hurdle, while an email waits in a crowded inbox behind everything else.

That does not make email useless. Comparisons of the two channels land on the same practical answer: lead with SMS for customers who have opted in and shared a mobile number, and keep email as the backup for everyone else. Asking on both, spaced out, reaches people either channel alone would miss.

Time it while the experience is fresh — but not too soon

The instinct is to fire the request the moment the transaction ends. That is usually right for services, but not a universal rule. Marketing research published by the American Marketing Association found that asking too early — before the customer has actually lived with what they bought — can lower both the quality and the volume of reviews. The right moment is when the value has landed, not when the payment cleared.

For high-touch local services — a haircut, a dental cleaning, an HVAC tune-up, a repair pickup — that moment is the same day or the next, while the visit is still vivid. For something whose value unfolds over time, a short delay of a few days produces a more useful review. Either way, ask once at a sensible hour, and follow up at most once a few days later.

Keep the ask neutral — the rules changed in 2024

Wording is not just tone; it is now a compliance line. The FTC's rule on consumer reviews took effect in October 2024, banning fake reviews and, importantly for your templates, incentives tied to a particular sentiment. In plain terms, from the FTC's own :

guidance for businesses
  • Ask for an honest review, never a "five-star" or "positive" one.
  • Do not offer a discount or gift in exchange for a favorable review specifically.
  • Do not funnel only your happy customers toward Google while quietly steering unhappy ones to a private form — a practice known as review gating.

The FTC's marketer's guide on soliciting reviews is the same in spirit: ask real customers, ask everyone the same neutral way, and let the honest reviews speak. The safe version is also the simplest to write.

Personalize lightly — name, service, one detail

A generic blast reads like spam and gets treated like it. A little specificity does the opposite. BrightLocal's guidance on asking for reviews points to short, direct messages that name the person and the specific service, with a one-tap link. You do not need much: a first name, the thing you actually did, and maybe the staff member who did it.

One more practical step: make the link effortless. Google lets you create a short review link and QR code for your profile, so the customer taps once and lands on the review box instead of hunting for it.

Templates you can reuse

Neutral, specific, and short. Swap the brackets for your details.

SMS — service business

Hi [First name], it's [Your name] at [Business]. Thanks for coming in for your [service] today. If you have a minute, we'd really value your honest review here: [Google link]. Reply STOP to opt out.

SMS — product or pickup

Hi [First name], thanks for choosing [Business]. Once you've had a chance to try your [product], we'd love your honest feedback: [Google link].

Email — general follow-up

Subject: How was your visit to [Business]?

Hi [First name], thank you for coming in for your [service] on [date]. Whether it went great or we have room to improve, hearing from you helps other customers know what to expect. If you have a minute, you can leave an honest review here: [Google link]. Thank you — [Your name].

In-person script

"If you were happy with today, an honest Google review really helps people find us. I can text you the link right now so it's easy — no pressure either way."

Notice what none of them do: promise anything, ask for stars, or push for praise. That restraint is what keeps them both effective and inside the rules — and it is also why, over years, nearly all local shoppers still lean on reviews to decide who to trust.

Where Altyaa fits

Altyaa does not send review requests. That stays with you, and the templates above are yours to use. What it does is handle what comes back: it watches your Google reviews and drafts a reply in your voice for you to approve before anything posts.

Use it to draft the message, keep the owner in control of the wording, and turn a quiet stream of honest reviews into steady proof that your business is active and trusted right now.
